Privacy Policy
CalNote AI records meetings you choose, turns them into structured notes, and saves those notes where you want them. This policy explains what data the app handles, where it goes, and what stays on your device.
The short version
- Your recordings and notes live on your iPhone. We do not run a server that stores them.
- To create a transcript and notes, audio and transcript text are sent through our relay to third-party AI providers, processed, and returned. They are not kept by us.
- Your calendar is read on-device only. Calendar data never leaves your phone unless you choose to append a note to an event.
- We keep one thing on our servers: an anonymous usage counter so we can enforce the monthly minute allowance.
Data we handle
| Data | Where it is processed | Stored by us? |
|---|---|---|
| Audio recordings | On your device. During processing, sent through our relay to the transcription provider. | No. Deleted from the provider as soon as the transcript is returned. |
| Transcripts | Returned to your device. Sent through our relay to the AI notes provider to generate summary, decisions and action items. | Only so we can deliver notes while your phone is locked: kept on our relay until your device downloads them, at most 24 hours, then deleted. |
| Generated notes | On your device, and in any destination you export to (Obsidian, Files, Notion, Calendar). | Same as transcripts: at most 24 hours, until your device downloads them. |
| Push notification token | Sent with a recording so we can tell your device when its notes are ready. Notifications never contain meeting content. | Only with that recording's job, at most 24 hours. |
| Calendar events | On your device via Apple EventKit. Used to show upcoming meetings and schedule reminders. | No. Never transmitted. |
| Anonymous install ID | A random identifier created on first launch. Sent with each processing request so we can count minutes used. | Yes: the ID and minutes used per month. Not linked to your name, email, or Apple ID. |
| Subscription status | Handled by Apple and RevenueCat. We receive only whether a subscription is active. | No personal payment details. |
| Notion token (optional) | Stored in the iOS Keychain on your device. Used only to create pages in your Notion workspace. | No. |
Third parties that process your data
- Transcription provider (Soniox, Inc., USA): receives audio to produce a speaker-labelled transcript. We delete the audio and the transcript from Soniox as soon as the result is retrieved. Version 1.0 of the app may instead use AssemblyAI, Inc. (USA), which processes audio and then deletes it according to its retention policy.
- AI notes provider: transcript text is sent through an AI model API relay (GPTproto) to a large language model provider โ currently Anthropic (Claude), with OpenAI as a fallback โ to produce the summary, topics, decisions, open questions and action items. It is used only to generate your note.
- Relay hosting (Cloudflare, Inc.): our relay runs on Cloudflare Workers. It forwards requests and stores the anonymous usage counter. It never stores audio. To deliver notes while your phone is locked, it keeps the transcript and note until your device downloads them, at most 24 hours.
- Push notifications (Apple Push Notification service): carries the "your notes are ready" alert. The alert contains no meeting content.
- Subscriptions (Apple App Store, RevenueCat, Inc.): purchase processing and entitlement checks.
- Export destinations you choose (Notion Labs, Inc.; Apple iCloud; your Obsidian vault): data goes there only when you export.
We do not use advertising SDKs, analytics trackers, or sell any data.
Recording consent
You are responsible for complying with laws on recording conversations in your location, including informing and obtaining consent from other participants where required.
Your choices
- Delete any recording, transcript, or note from the app at any time. Audio and notes can be deleted separately.
- Revoke microphone, calendar, or notification access in iOS Settings. Manual recording still works without calendar access.
- Disconnect Notion from Settings; the token is removed from the Keychain.
- Deleting the app removes all local data. The anonymous usage counter expires with the monthly period.
Children
The app is not directed to children under 13 and we do not knowingly collect data from them.
Changes
We will update this page and the date above when the policy changes. Material changes will be noted in the app.
